Terms of Service

FormSign is a hosted workflow product: forms, boards, documents and electronic signatures. These terms govern your use of formsign.world.

Last updated 2 October 2026

1. Who we are

FormSign (“we”, “us”, “our”) is operated from South Africa. The service is available at https://formsign.world.

A workspace is the customer account. People with a FormSign login join a workspace as members. People who only fill a form or sign a document (“recipients”) do not need a FormSign account and are not workspace members.

2. Agreement

By creating an account or subscribing, you agree to these Terms, the Privacy Policy and the Refund Policy. If you use FormSign on behalf of a business, you confirm you are authorised to bind that business.

You must be at least 18 years old to create a FormSign account.

3. The service

FormSign lets a workspace create forms, collect submissions, organise work on a board, generate documents from templates, and send documents for electronic signature. Recipients complete those steps through public links. We may improve, add or remove features, provided we do not reduce paid access without notice except for security, legal or abuse reasons.

Electronic signature rules differ by country. FormSign does not give legal advice and does not claim that a signature is legally binding everywhere. You are responsible for using the product in a way that matches your local requirements.

4. Accounts and workspaces

You must provide accurate account details and keep your password confidential. Workspace owners and admins control membership, branding and billing for that workspace.

There is no free trial. You can build and share workflows without a card. A card is requested when the workspace’s first workflow goes live, and Paddle charges immediately. Work already stored is not deleted merely because billing has not started.

5. Subscriptions and pricing

Paid access is $12 per accepted member per month, monthly only. Pending invites don't count.

Each accepted member adds 5 live workflows to a shared pool. Each extra live workflow is $2 per month.

There is no free trial.

A workflow goes live permanently at its 10th real completion or 2nd signature send. Preview fills don't count.

A card is requested when the first workflow goes live, and Paddle charges immediately.

If there is no card, the live workflow keeps running for 7 days. During that time the first 50 completions stay visible. Later completions are still accepted but locked: hidden from the workspace, and no documents are generated, until a card is added. After day 7 without a card, the workflow pauses.

A failed payment gives a 3-day grace, then the workflow pauses. Signers already in progress can finish.

Archived workflows stop counting at the next renewal.

Subscriptions renew automatically until cancelled. Cancelling stops the next renewal. You keep access until the end of the paid period unless a refund is issued under the Refund Policy.

Completing checkout is an offer to buy a recurring subscription for the plan you selected. The contract for that purchase is formed when payment is confirmed by the Merchant of Record.

6. Payments – Paddle is the Merchant of Record

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.

Card payments on formsign.world are collected by Paddle. You also agree to Paddle’s Checkout Buyer Terms for those orders. Paddle is the only payment provider. Paddle sends the payment receipt. FormSign never stores your full card number.

Access is unlocked only after Paddle confirms the subscription to our server. Closing the checkout window does not, by itself, activate a paid plan.

7. Your content and acceptable use

You retain rights in the forms, files, documents and recipient data you put into FormSign. You grant us a limited licence to host, process, display and transmit that content solely to provide the service.

You must not use FormSign to:

  • break the law, or collect personal information without a lawful basis and any required notices;
  • upload malware, or attempt to access another workspace’s data;
  • send spam, or misrepresent who is asking a recipient to fill or sign;
  • interfere with the service, scrape accounts, or overload public links;
  • resell FormSign as if you were the operator, without our written permission.

We may suspend or terminate access if we reasonably believe these rules are broken.

8. Recipients

Recipients interact with your workspace through expiring public links. They are your (the workspace’s) contacts, not FormSign customers, unless they later create their own account. You are responsible for what you ask them to provide and for your messages to them.

9. Availability, backups and security

We aim to keep FormSign available, but we do not guarantee uninterrupted service. We apply technical security controls described in our public security documentation. No internet service is perfectly secure.

10. Liability

The service is provided on an “as is” basis. To the fullest extent allowed by law, we exclude implied warranties. Nothing in these terms limits liability for fraud, death or personal injury caused by negligence, or any liability that cannot be limited under the law of South Africa or under mandatory consumer law in your country.

Subject to that, our total liability arising out of FormSign in any twelve-month period is limited to the amount you paid for the workspace subscription in that period (or US$100 if you paid nothing in that period).

11. Complaints

Email support@formsign.world. We aim to acknowledge complaints within two business days and to give a substantive response within ten business days. Payment, invoice, tax and refund questions for Paddle orders should also go to Paddle buyer support.

If you are in South Africa and we cannot resolve a consumer complaint, you may contact the National Consumer Commission (0860 003 600, thencc.org.za). EEA and UK consumers keep any statutory rights that cannot be waived.

12. Changes and governing law

We may update these terms. The date at the top will change. Material changes to paid customers will be announced in the product or by email where we have a working address. Continued use after the update is acceptance of the new terms, except where the law requires extra consent.

These terms are governed by the laws of South Africa. That does not take away mandatory consumer protections in the country where you live. For Paddle checkout purchases, Paddle’s buyer terms also apply to the payment contract.
