Bookkeeping Engagement Letter

A bookkeeping engagement runs month after month, so the letter has to be clear about what you do, how often and for what fee. This template starts from your client list. Each client gets a personal link with their business name, the services, frequency, start date and fee already filled in and locked. They confirm their details and FormSign turns the answers into your own engagement letter for them to sign electronically.

What is a bookkeeping engagement letter?

A bookkeeping engagement letter is the agreement between a bookkeeper and a business client. It sets out which bookkeeping services you provide, how often, from when, for what fee, what the client must provide, and what's outside the engagement.

When to use it

  • When a new bookkeeping client signs on.
  • Once a year, to renew terms with every ongoing client.
  • When you add services or change the fee.
  • When you want each signed letter next to the client's details.

What to include

Who the engagement is with

Your firm and the business's legal name.

Services in scope

List them plainly so anything else is clearly extra.

Frequency and start date

Weekly, monthly or quarterly, from a set date.

The fee

Lock it on the form.

Their setup

Accounting software and fiscal year end.

Who signs

An owner or officer who can sign for the business.

What to leave out

Don't collect bank account numbers or software passwords on this form. Use your secure access process for those.

Why FormSign

Import your client list and each client gets a personal link with their services and fee filled in and locked. Confirmations land as rows on your board, so renewal season is one view, not an inbox search. Add your own letter as a document and FormSign fills it from each client's answers and sends it for e-signature.

This template is a starting point, not legal or tax advice. FormSign doesn't supply engagement letter wording. Have your own attorney or professional advisor review your letter before you use it.
